ii) General Clauses

1.1     Data security is of great importance to Noord-Group Ltd and to protect your Data we have put in place suitable physical, technical and organisational measures to protect against unauthorised or unlawful processing of Personal Data and against accidental loss or destruction of, or damage to, Personal Data.

1.2   Noord-Group Ltd will take reasonable steps to ensure the reliability of any employees who have access to Personal Data.

1.3   All our systems are password protected and only Noord-Group Ltd staff have access to the personal information stored.

1.4   Where Personal Data is passed to Data Processors to process on behalf of Noord-Group Ltd, we will require that Data Processors put in place an equivalent level of security measures.

2.1   Noord-Group Ltd may disclose Personal Data to companies within the ‘Noord’ group of companies from time to time. Group companies may include subsidiaries, any ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.

2.2  Furthermore, Noord-Group Ltd may give Personal Data about you to the following (who may use it for the same purposes as set out above):

2.2.1         To partners and third parties, including Solution Partners (as defined below) that collaborate for an event for which you registered

2.2.2        Agents and third parties who fulfil any other services on Noord-Group Ltd.’s behalf (e.g. to administer payments for purchases, despatch tickets and information etc.)

2.2.3        To Delegates (as defined below) only where you are attending in a professional capacity, e.g. business-related events, where it is expected that attendees will have access to a list of attendees and their organisation but not the actual contact details.

2.2.4        To other organisations for the administration of prize draws, competitions or promotions.

2.2.5        To anyone whom Noord-Group Ltd transfers or may transfer their rights and duties with you (for example the sale of a particular event).

2.2.6        If there is a duty to do so or if the law allows it to do so.

2.3  We currently use a number of platforms for our marketing automation. If you have subscribed to our news and events information newsletter or attended / supported an event run by Noord-Group Ltd in any capacity, you acknowledge that the information you provide will be processed in accordance with their respective privacy policy. 2.4  Personal Data may be transferred to reputable companies outside the European Economic Area. Please note this will only be done if your explicit consent is obtained or when it is necessary for the performance of the agreement.

2.5  Noord-Group Ltd takes steps to ensure that your information will be afforded the same level of protection as that required of us under applicable UK Data Protection legislation and the General Data Protection Regulation (GDPR).

  1. Third Party Websites And Services Providers

3.1   Noord-Group Ltd may, from time to time, employ the services of other parties for dealing with certain processes necessary for the operation of the Noord-Group Ltd Website, organisation and/or services. The providers of such services have access to certain personal Data provided by Users of the Noord-Group Ltd Website, Delegates and Solution Partners.

3.2  Any Data used by such parties is used only to the extent required by them to perform the services that we request. Any use for other purposes is strictly prohibited. Furthermore, any Data that is processed by third parties will be processed within the terms of this privacy policy and in accordance with the GDPR.

  1. Changes Of Business Ownership And Control

4.1   Noord-Group Ltd may, from time to time, expand or reduce our business and this may involve the sale and/or the transfer of control of all or part of Noord-Group Ltd. Data provided by Users will, where it is relevant to any part of our business so transferred, be transferred along with that part and the new owner or newly controlling party will, under the terms of this privacy policy, be permitted to use the Data for the purposes for which it was originally supplied to us.

4.2  We may also disclose Data to a prospective purchaser of our business or any part of it.

4.3  In the above instances, we will take steps with the aim of ensuring your privacy is protected.

  1. Breach Notification
    • 1 In the unlikely event that our computer systems are compromised and there is a potential loss of confidentiality we will report this breach to you as soon as possible.
    • 2 In the unlikely event that personal data is exposed or taken from Noord-Group Ltd records without our consent, we will provide reports surrounding that breach within 72 hours of being notified of such an event and take any action necessary to restore security of your personal data.

    • 1.1 The right to be informed – You have the right to be provided with clear, transparent and easily understandable information about how we use your information and your rights. This is why we are providing you with the information in this Policy.

  • 2 Noord-Group Ltd usually act on requests to provide information free of charge, but may charge a reasonable fee to cover our administrative costs of providing the information for:
    • 2.1 baseless or excessive/repeated requests, or
    • 2.2 further copies of the same information.

Alternatively, we may be entitled to refuse to act on the request.

  • 3 Noord-Group Ltd will respond as soon as we can. Generally, this will be within a 30 day limit from when we receive your request but, if the request is going to take longer to deal with, we’ll come back to you and let you know within the 30 day period.

  • 5 Where Noord-Group Ltd have previously received permission to share personal information with a third party, for example for matching a business need, we undertake to advise that third party of your wish to be forgotten if communication has been in the last 12 months.

Any changes will be posted on the Website and you are deemed to have accepted the terms of the privacy policy on your first use of the Website following the alterations. This section of the policy applies between you, the Delegate of a Noord-Group Ltd event Noord-Group Ltd, the provider of such event. This section of the privacy policy applies to our use of any and all Data collected by us or provided by you in relation to your application and attendance of such event. Please read this section carefully.

  • Company Information & Industry

1.2   When you apply to be a Noord-Group Ltd event Delegate you MUST consent to us collecting and storing your personal information. You will not be able to complete your registration process for a Noord-Group Ltd event without consenting to us storing your personal data.

1.3   Personal Data is obtained by Noord-Group Ltd every time you provide your details for application to a Noord-Group Ltd event via external booking forms or via event-specific questionnaires. Noord-Group Ltd will only collect Personal Data relevant and limited to what is necessary in relation to the purposes for which it is processed.

1.4   Noord-Group Ltd requires Personal Data to be accurate, to ensure the provision of the best possible service including, but not limited to, the matching of Delegates to suitable Solution Partners and the allocation of overnight accommodation. Please contact Noord-Group Ltd, using the contact details provided via the Website, if you believe the Personal Data held to be incorrect. Noord-Group Ltd will erase or rectify the Personal Data without delay, upon receipt of the up to date Personal Data, as per section ii, clause 5.1.3. Noord-Group Ltd will also endeavour to update any third parties it may have transferred your Personal Data to. Noord-Group Ltd does not take any responsibility for incorrect Personal Data being submitted by a Delegate.

  • assess suitability of Delegates for the specific event
  • match Delegates and Solution Partners according to solution needs and availability
  • understand the interests and requirements of Delegates
  • displaying your company logo on all event related materials
  • personalising and tailoring your experience on our event site
  • internal record keeping
  • improvement of our products / services
  • transmission by email and / or telephone of promotional materials and future offers that may be of interest to you
  • contact for market research purposes which may be done using email, telephone or mail. Such information may be used to customise or update the Website

in each case, in accordance with this privacy policy.

2.2  Unless we are obliged or permitted by law to do so, and subject to any third party disclosures specifically set out in this policy, your Data will not be disclosed to third parties without your explicit permission, and then we will only share the personal information with that one individual or company. This does not include our affiliates such as Solution Partners and / or other companies within our group.

2.3  Due to the nature of the services provided by Noord-Group Ltd, a significant number of Delegates reconnect with our organisation periodically when they are interested in new offers or have new business needs. It is not uncommon for this to occur years after they have last attended an event. For this reason, your consent includes explicit consent to retain your personal details for an indefinite period until you confirm that you wish us to delete your records from our database or refrain from further engagement.

2.4  We may retain some of your information after you cease to use our services, if we believe in good faith that it is necessary to meet our legal obligations, such as retaining the information for tax and accounting purposes. When determining the relevant retention periods, we will consider factors including:

2.4.1         our contractual obligations and rights in relation to the information involved

2.4.2        legal obligation(s) under applicable law to retain data for a certain time period

2.4.3        statute of limitations under applicable law(s)

2.4.4        in case of disputes

2.4.5        if you have made a request to have your information deleted

2.5  Noord-Group Ltd values our relationship with you and by requesting information on, or registering / applying to attend an event, you agree that Personal Data provided may be used for events as set out within this Privacy Policy. If you do not consent to Noord-Group Ltd using your Personal Data for these purposes or storing your Personal Data, do not apply for any offer available within our website.

3.1   Noord-Group Ltd may, from time to time, employ the services of other parties for dealing with certain processes necessary for the operation of our offers. The providers of such services have access to certain Personal Data provided by Delegates.

3.2  In such circumstances the Personal Data made available will be limited to the necessary information required and will be supplied strictly on condition it is only used for the purpose

that we request. Any use for other purposes is strictly prohibited. Furthermore, any Data that is processed by third parties will be processed within the terms of this privacy policy and in accordance with the GDPR.

3.3  By explicitly providing consent when you register for a Noord-Group Ltd event, you are providing permission for the sharing of Personal Data with such third parties, only for the purpose of providing necessary processes for the operation of our offers.

 

v) Solution Partners

This section of the policy applies between you, the Solution Partner and Noord-Group Ltd, the provider of the event. This section of the privacy policy applies to our use of any and all Data collected by us or provided by you in relation to your attendance of such event. Please read this section carefully.

1.1    We will collect Data, which includes but is not limited to the following, from you:

  • Name
  • Company Information & Industry
  • Job Title & Function
  • Contact Information such as email addresses and telephone numbers
  • Social Media Profiles
  • Areas of Expertise
  • Solution Information, including cost matrices

in each case, in accordance with this privacy policy.

1.2   When you apply to be a Noord-Group Ltd event Solution Partner you MUST consent to us collecting and storing your personal information. You will not be able to complete your registration process without consenting to us storing your personal data.

1.3   Personal Data is obtained by Noord-Group Ltd for the Solution Partner specified contact, as well as any additional employees who may represent the Solution Partner at the event.

1.4   Noord-Group Ltd will only collect Personal Data relevant and limited to what is necessary in relation to the purposes for which it is processed.

1.5   Noord-Group Ltd requires Personal Data to be accurate, to ensure the provision of the best possible service including, but not limited to, the matching of Delegates to suitable Solution Partners and the allocation of overnight accommodation. Please contact Noord-Group Ltd, using the contact details provided via the Website, if you believe the Personal Data held to be incorrect.
